What to Know About Nonprofit Expense Reports
- Nonprofits report expenses by function (program / management & general / fundraising) on Form 990. Coding at the receipt level, on this report, is what makes those numbers real rather than allocated guesswork.
- Restricted grants reimburse only allowed cost categories; the fund/grant column ties each line to the money that may pay for it. The control auditors test.
- Volunteers can be reimbursed for actual documented expenses without tax consequences; unreimbursed, those same expenses may be their charitable deduction. Either way this documentation is required.
- The volunteer mileage rate (statutorily fixed at 14¢/mile for charitable use) differs from the business rate, a nonprofit-specific trap on mileage lines.
- Accountable-plan rules apply to nonprofits exactly as to companies: business purpose, substantiation, timely reporting. Reimbursements outside them become taxable compensation.
Frequently Asked Questions
Why code expenses to program, admin, or fundraising?
Because the Form 990 reports them that way, grantors reimburse only certain functions, and watchdog ratings are built on the split. Coding at submission time (by the person who spent the money) is far more accurate than year-end allocation.
How do volunteer reimbursements work?
Documented actual expenses can be reimbursed tax-free under accountable-plan rules. If the volunteer chooses not to be reimbursed, this same documentation supports their charitable deduction. Including mileage at the special 14¢ charitable rate.
What extra scrutiny do restricted-grant expenses get?
Auditors trace grant-charged costs to source documents showing the cost was allowable, incurred in the grant period, and coded to the right program. The fund/grant note on each line is that trace.
