What to Know About Rent Receipts
- Some states (e.g., New York under RPL §235-e for cash payments, and Washington on tenant request) legally require landlords to issue rent receipts; requirements vary by state and by payment method.
- A rent receipt for cash is often the tenant's only proof of payment. Courts and housing agencies routinely accept dated, signed receipts as payment evidence.
- Including the rental period (not just the payment date) prevents the most common rent-receipt dispute: which month a payment covered.
- If a partial payment is made, recording the remaining balance on the receipt protects both parties.
- Landlords benefit too: a numbered receipt trail is the clean audit record for Schedule E rental income.
Frequently Asked Questions
Are landlords required to give rent receipts?
It depends on the state and payment method. New York, for example, requires receipts for cash payments automatically and for other methods on request; Washington requires one whenever the tenant asks. Check your state's landlord-tenant statute, and when in doubt, issue one. It costs nothing and prevents disputes.
What must a rent receipt include?
At minimum: the payment date, amount, property address, who paid, who received it, and the rental period covered. Adding the payment method and any remaining balance makes the receipt far more useful in a dispute.
Is a rent receipt valid without a signature?
A signature isn't always legally required, but a signed receipt is much stronger evidence. This generator includes a signature line. Sign the printed copy or add a digital signature before sending.
