How do I calculate hours worked from clock-in and clock-out times?

Subtract the start time from the end time, subtract unpaid breaks, and convert minutes to decimals (15 min = 0.25, 30 = 0.50, 45 = 0.75). This generator does all three steps automatically and shows the math per day.

Does a lunch break count as hours worked?

Under federal rules, a bona fide meal period (usually 30 minutes or more, with the employee fully relieved of duty) is not work time and is unpaid. Short breaks of about 5 to 20 minutes are ordinarily counted as paid work time. Enter only unpaid break minutes in the break column.

When does overtime apply?

Federally, after 40 hours in the employer-defined workweek, at 1.5× the regular rate. Several states add daily overtime or different thresholds. California's daily-8 rule is the best-known. This sheet shows the federal split; your state may require more.

Is time rounding allowed?

The DOL permits rounding (commonly to the nearest quarter hour) if it's neutral in practice. That is, it doesn't systematically favor the employer. Recording exact times, as this sheet does, avoids the issue entirely.
