What to Know About HVAC Invoices
- Technicians handling refrigerant must hold EPA Section 608 certification, a credential worth stating on the invoice, since it's what makes the refrigerant lines lawful work.
- Refrigerant is billed per pound, and the HFC phase-down has made R-410A pricing volatile. Dating the per-pound rate on the invoice protects the shop when customers compare against last year's bill.
- Maintenance-agreement customers get different pricing (covered visits, parts discounts); the invoice should show plan pricing applied ('condenser coil clean) plan rate'. Or the plan quietly loses its sales value.
- Equipment carries the manufacturer's warranty (often 10 years registered) while labor carries yours (commonly 1 to 2). Invoices that state both prevent the year-three phone call from becoming a fight.
- Seasonal diagnostic pricing (peak-season surcharges) is common and legal, but it belongs on the invoice as its own line, not hidden inside a bigger labor number.

Why is refrigerant so expensive on my invoice?
The HFC phase-down has cut supply of common refrigerants year over year, and prices per pound reflect it. A defensible invoice states the per-pound rate and date; leak repair is often the economical conversation when a system needs pounds every season.
How should maintenance-plan pricing show up?
Explicitly: the plan rate on covered lines, the discount on parts, and the plan named in the notes. If a member's invoice looks identical to a non-member's, the plan renewal won't happen.
What warranty applies to this work?
Two run in parallel: the manufacturer covers the equipment (registration deadlines matter), your shop covers the labor for its stated term. Putting both on the invoice (as this template's terms line does) is what prevents the mismatch argument later.
