Rent Invoice Generator
A rent invoice bills the rent before it's paid. The mirror image of the rent receipt, which documents payment after. Residential landlords often skip invoicing (the lease is the standing bill), but commercial tenancies run on invoices: base rent plus CAM charges, utilities, and adjustments, each a line the tenant's bookkeeper posts. This generator handles both.

What to Know About Rent Invoices
- Commercial leases commonly bill base rent plus CAM (common-area maintenance), taxes, and insurance ('NNN' charges). The invoice itemizing each is what the tenant's accountant requires to post and audit them.
- CAM reconciliations (estimated monthly charges trued-up annually against actuals) generate the year's most disputed line, a reconciliation invoice showing the estimate, actual, and delta prevents most of it.
- Residential late fees are regulated in many states (grace periods, caps as a percentage of rent) so the late-fee term on the invoice must match the lease AND the statute, in that order of drafting.
- For tenants, a monthly rent invoice is expense documentation; for landlords, the invoice series matching the rent ledger is what makes Schedule E numbers audit-ready.
- Invoicing rent changes (renewals, escalations) a full cycle ahead of the effective date, with the new amount labeled, is the practice that avoids the short-pay month every escalation otherwise produces.
Frequently Asked Questions
Do landlords need to invoice rent at all?
Residentially, the lease itself is the standing obligation and many landlords never invoice. But tenants who need expense documentation appreciate one. Commercially, monthly invoices itemizing base rent and pass-through charges are the norm and often the lease's requirement.
What are CAM charges and how do they bill?
Common-area maintenance. The tenant's share of shared-space costs under NNN-style leases. They bill monthly as estimates with an annual true-up; both the estimate lines and the reconciliation belong on invoices the tenant can audit against the lease's definitions.
How should late fees be stated?
Exactly as the lease states them, within your state's limits on amount and grace period, and on the invoice as a term, not a surprise charge. A late fee that appears without a stated basis is the easiest charge for a tenant to refuse.
